The Operator’s Interface – making the booking and managing the bookings

A good Taxi Dispatch solution provides a very efficient booking management system. Its friendly interface presents clearly stated information fields, searching criteria and ongoing updated options.

The creation of a booking:

–          (OTDS) Version 2.1 offers a very simple way of creating a booking in only 3 simple steps:

  1. Step 1 involves the following fields: pick-up and drop-off address, optional stops on the way and specific car type, according to the number of passengers and of pieces of luggage. This is very helpful, especially if customers are influenced by the final price of their journey.

There is also a search bar that helps your operators locate certain clients that have loyalty programs. It also shows examples of previous bookings, which makes the process of making a reservation quick and efficient.

If the customer is interested in the duration of the journey, there is a Google Maps display that shows the route, number of miles and total number of minutes. The duration can be customized, meaning that it can include the rush hour traffic as well.

  1. Step 2 is a more detailed process. The Client’s Details and Lead Passenger’s Details fields help your operators keep a good evidence of the basic contact details for each booking: e-mail address, name, contact number and alternative number.

In the Car Details field you can select a certain type of car, number of passengers, the optional baby seats and specific luggage.

The Journey field allows the operators to update, change and add the final pick-up and drop-off details and the stops on the way, if that is the case. This is the section where you can select the date and pick-up hour of the journey. If the pick-up is from an airport, the operators can also introduce the flight details: airline name, flight number, departure city, number of minutes after landing and the display name for the driver’s name board.

The Payment and Special Instructions field gives the option to select a payment method (cash, credit card, bank transfer, etc.). If the customer has any particular requirements or if the operators have to leave a driver’s note or write any important piece of information that might be valuable to the customer or to the other employees, it can be written in the special instructions box.

There is also an Operators Comments field, visible only to your employees.

The Operator Control Panel gives the operators the possibility to adjust the final price, while the Price Details box lets them double-check if the final quote is correct and if the extra charges are in order.

  1. Step 3 permits a last double-check regarding the details of the whole journey, to select a return one and also to automatically send an e-mail and/or SMS with the confirmation of the booking to the client, lead passenger or both.

Managing a booking:

–          The operators are free to make any ongoing updates to a certain booking.

–          The status of the booking (unallocated, pre allocated, allocated, confirmed, down on the way, with passengers on board, cancelled, done) can be manually updated by an operator or automatically by a driver.

–          The payment status (pending, paid, cancelled) and the driver’s allocation for a certain booking can only be done by an operator.

Managing the Booking List:

–          (OTDS) Version 2.1 offers detailed search fields that can help your operator find easily every booking. They can look for it using the following criteria: Booking ID, client or lead passengers’ contact details (name, e-mail address, phone number), status of the booking (unallocated, pre allocated, allocated, confirmed, down on the way, with passengers on board, cancelled, done – they can be all customized), pick-up or drop-off address, pick-up date, driver name, car type, creation date, creation source (web app, operator, mobile, etc.) and payment method. The number of shown results according to the mentioned criteria can range from 10 to 200 results per page.
